Position Summary:
To assist the Chief Executive Officer and the Medical Staff with the assistance, knowledge, information, and resources necessary to enable Bone and Joint Institute of Tennessee to achieve its purpose.

Position Requirements:
Formal Education / Training:
Bachelor’s degree in any field of study required.
Workplace Experience:
Must have at least 5 years of secretarial experience. Must type 55-60 WPM.
Equipment and Skills Training:
Operate computer and software programs, proficient with google and Microsoft document programs, FAX machine, telephone, voice mail system, and copier.
Physical Environment:
Office and all areas pertinent to position
Physical Effort:
Must be able to sit for extended periods of time. Must have a clear and understandable voice over the telephone. Must be able to work in an environment with frequent interruptions and distractions. Must be multi-task oriented.

Key Results:
Schedules appointments and maintains calendar for CEO and Medical Staff. Assists with scheduling meetings for Executives in Administration as requested. Assists in coordinating meeting room calendar. Included, but no limited to rep meetings/lunches for providres.
Maintains and processes PTO and out of office requests for all providers to include entering into API, blocking office and surgery schedules, updating/creating scheduling template in EHR and notifying appropriate parties of changes.
Coordinates BJIT Governing Board, Board Committee meetings, Executive Staff meetings and Leadership meetings by obtaining location, sending calendar request, preparing and sending agendas and minutes and ordering meals as needed. Leads the Employee Engagement and Activities Committee.
Assists with planning activities, obtaining location, and facilitating invitations/RSVPs for attendees for the Executive Team events. Assists in activities surrounding travel for the Executive Team and Medical Staff to attend conferences and seminars.
Assists CEO with special projects and updating policies and procedures as directed by the Executive Team. Supports Executive Team and Medical Staff communication and requests.
Maintains orientation schedule for new hires, scheduling of student shadowing and assists clinical director with supply ordering (PRP).
Coordinates and updates on call schedule and Master Schedule for Administrator On-call Schedule and Provider On-call.
Responsible for scheduling and preparation of all legal depositions and meetings for all providers.
Prepares expense reports and check requests for CEO, Executive Staff (as needed) and Medical Staff for reimbursement, including credit cart statements. Prepares requisitions, invoices, & physician pay for call for AP to process payment.
Opens mail for the clinic and distributes appropriately. Maintains proper flow of paperwork within the Department. Screens and routes calls appropriately.
Maintains communication with laundry service for provider lab-coat cleaning
Other duties as assigned.
